Requirements and T&Cs
Introduction
This document outlines the requirements and terms & conditions (T&Cs) for organisations, entities, startups, and NGOs interested in running a sustainability-focused hackathon with the support of Pristine Agency OÜ (hereinafter also referred to as “We”). The Pristine Agency Pro Bono Sustainability hackathon is organised only once per year.
Applications deadline
The deadline to apply for the Pristine Agency Pro Bono 2024 Sustainability Hackathon is the 31st of December 2024.
Minimum eligibility criteria for the applicants
To be eligible for our pro bono hackathon services, the following selection criteria must be met:
Financial turnover: the applicant must have had a financial turnover in the last 3 financial years below 300k euros.
Affiliation: the applicant, and any stakeholder that the applicant would like to involve in the application must not be affiliated in any way with entities with a history of environmental violations, or companies involved in activities contrary to the principles of sustainability and social responsibility.
Sustainability-focused hackathon: the hackathon challenge(s) must be sustainability-focused, addressing environmental issues.
Relationship with our company: the applicant must not be
a former client of Pristine Agency or of one of its employees/collaborators.

Additional requirements
In addition to the eligibility criteria, the following requirements must be adhered to:
Event date: the hackathon registrations must be opened during the same solar year as the call for the Pristine Agency Pro Bono Hackathon (e.g., for the 2025 Pristine Agency Pro Bono Sustainability Hackathon, the registrations must start after the 1st of January 2025).
Participation diversity: the applicant must be open to a hackathon plan designed to ensure diverse participation in terms of gender, ethnicity, and background.
Type of hackathon: the hackathon must be 100% online, avoiding emissions such as transportation.
Eco-friendly materials: whenever possible and if applicable, use eco-friendly materials for event materials and giveaways. Digital giveaways should be preferred over material giveaways.
Ethical judging and mentoring: the hackathon jury members and mentors must not be affiliated in any way with entities with a history of environmental violations, or companies involved in activities contrary to the principles of sustainability and social responsibility.
Pristine Agency support
As part of the pro bono arrangement, we will provide the following items and services:
Event T&Cs
Support and consultancy in the hackathon challenge(s) definition
Hackathon planning, organisation, moderation, and consultancy
Weekly calls with the applicant
Eventornado hackathon platform (free up to 1000 participants), also serving as the hackathon website.
Coordination and facilitation of communication with the hackathon participants, mentors, jury members, and stakeholders
Hackbook and practical guides for participants
Team formation management
Best mentoring structure and process proposal
Technical tools for webinars and live sessions such as pro Zoom licenses and Live Streaming on YouTube
Basic video editing and uploading on YouTube
Organic promotion of the event through posts on our social media (up to 3 posts)

Exclusions and limitations
The following items are not included in Pristine Agency’s support
Promotion through paid ads and related budget
Paid promotion campaign to attract the participants
Additional software licenses or upgrading pricing plans
Creation, maintenance, or update of a hackathon website
Graphic material
Any other out-of-pocket cost
The following limitations apply:
The whole duration of the hackathon, from confirmation of the selection to the hackathon execution, must not exceed 3 months
Additional and detailed exclusions and limitations such as warranty, termination, and liability shall be defined with the winner during the writing of the contract.
Selection procedure
Pristine Agency will award the Pro Bono Sustainability Hackathon to the proposal we think will have the greatest positive sustainability impact. Pristine Agency’s sustainability experts might be put side by side with external sustainability consultants during the awarding procedure. We reserve the right to reject applications at our own discretion at any point in the selection procedure if we believe the proposed hackathon does not align with our values or capacity. The selection procedure will conclude from 1 month up to 6 months after the application deadline.
Communication of the selection
Pristine Agency will only communicate the selection to the winning applicant. No rankings will be published or provided upon request.
Conclusion
By requesting our pro bono services, you agree to adhere to the eligibility criteria. These Requirements and Terms & Conditions may be amended at our discretion, without restrictions on the grounds or means of adjustment.
